Administrative Coordinator – Florida Campus Compact

Qualifications
A high school diploma and two years of appropriate experience. Appropriate college coursework or vocation/technical training may substitute at an equivalent rate for the required experience. Previous experience working in an office setting. Computer skills to include experience with Windows XP, and Microsoft Word, Excel, and Outlook or comparable software. General accounting experience; ability to apply basic accounting principles. Experience in event planning.

The successful candidate must be detail focused and organized; able to multi-task and prioritize in a fast-paced environment while maintaining a professional and positive attitude; able to effectively communicate in both written and verbal interactions; and able to be flexible as well as diplomatic.

Preferred
Knowledge of University policies and procedures, including OMNI Travel and Expenses, eProcurement, and Reporting/Query modules. Experience in event planning and providing logistical support for conferences, workshops, meetings, banquets, and special events. Experiences with higher education and familiarity with the concepts of service-learning, volunteerism, and civic engagement.

Other Information
This position is located off-campus in the Children’s Home Society building off of Miccosukee Drive.
Travel and overtime may be required during conferences or to meet project deadlines.

Responsibilities
Serves as a fiscal assistant within the finance department helping to establish and maintain proper accounting procedures and record keeping; assists with grants and budgets; processing travel, purchasing requests, and working with vendors on requisitions, purchase orders, invoicing and receiving payments. Provides administrative and technical support to all FL|CC programs and staff, including but not limited to: answering telephones and providing a front desk presence; maintaining office equipment and supplies; working with FSU ITS and technology interns to support computers and data management; coordinating and processing travel for authorization and reimbursement; writing, proofreading &/or editing written or recorded materials; assisting with special projects as requested by program staff as time allows. Serving as a member of the administrative team for all FL|CC programs, events and functions, which may include: sending RFPs and coordinating contracts with venues (hotels/campuses); making site visits for space, logistics & catering; creating and managing registration tools; processing payments; coordinating and providing A/V and tech support on site at events; working with staff, vendors, speakers & attendees to ensure successful functions. Prepares deposits and disbursements for the FSU Foundation. Ensures proper supporting documentation is attached, necessary signatures are received, and copies are filed correctly.

Pay Plan
This is an USPS (University Support Personnel System) position. Preference will be given to eligible veterans and their spouses with proper documentation (applicants must submit a copy of their DD214 with their online application).

Salary Range
Anticipate hiring in the low to mid $20s.
